Set Up and Training Engagements:

If you already have staff that can handle all of the bookkeeping and accounting duties, but need a more effective accounting system set up and your staff trained on how to use it, then one of the following engagements may be the best option for you! 


Aplos Set Up and Training:

One of the most popular nonprofit accounting software that we utilize is Aplos. aplos is a user-friendly cloud-based accounting software for churches and nonprofits. See my review of this accounting software on FreeChurchAccounting.com site:  Aplos Review   

This engagement includes:

  • Set up accurate beginning balance for all assets and liabilities 
  • Create an effective Chart of Accounts (COA)
  • Reconcile the first month (after you have entered the accounting data)
  • 1st Training: Tour of Aplos, edit COA, and connect accounts
  • 2nd Training: How to enter and assign transactions
  • 3rd Training: How to set up donors, enter donations, and run contribution statements 
  • 4th Training: How to reconcile the account and generate reports  

After your Aplos file has been set up, we will use screen sharing meetings over a thirty day period with a trainee(s) designated by the Church or Nonprofit. It is intended that at the end of a month, you will have a solid accounting system in place and someone trained in its use. 

After the training is completed, we provide an additional 30 days of free support as related to your Aplos file and accounting/donation data.

Estimated Fee for Aplos Set Up and Training: 

The fee for an Aplos Set Up and Training engagement is $975.  $475 will be invoiced at the beginning of the engagement and the remaining balance of $500 will be invoiced one month later. 

Note: the Aplos engagement consists of 8 to 10 hours of training. If additional training is required, the hourly fee will be $75. Historical data is also not included with this engagement. A separate engagement will be required for entering historical data at an hourly rate of $75.

Requirement: the trainee(s) should be able to set aside 2 hours weekly for the training sessions.

QuickBooks Online (QBO) Set Up and Training: 

The only "for-profit" accounting software that we utilize is Quickbooks Online (QBO).

We can manipulate this for-profit accounting software to work efficiently for churches and nonprofit organizations.

I highly recommend this software for small businesses; however, this software is more difficult to use for a church or nonprofit organization.

I can and have set it up for many churches and NPs and it works very well for many of my monthly bookkeeping clients... 

but I have found that many church and NP staff have struggled to grasp the concepts of using this "for-profit" software for their organization, so if you want an accounting system set up that your nonaccountant bookkeeper can use...

I highly recommend Aplos instead.

This engagement includes:

  • Setting up accurate beginning balance for assets and liabilities

  • Setting up Equity accounts and Classes to track fund or other balances
  • Creating Products and Services to track designated gifts (if using QBO to track donations)
  • Reconciling the account 
  • Setting up donor or tracking (if using QBO to track donations)
  • 1st Training: Tour of software and review Chart of Accounts
  • 2nd Training: How to connect accounts and assign/import transactions
  • 3rd Training: How to set up donors, enter donations or sales, and run contribution statements or invoices/sales receipts
  • 4th Training: How to reconcile the account and generate reports  
  • 5th Training: How to generate journal entries for correct liability and equity balances

After your QBO file has been set up, we will use screen sharing meetings over a 5 to 6 week training period with a trainee(s) designated by the organization. It is intended that at the end of a month, you will have a solid accounting system in place and someone trained in its use. 

After the training is completed, I will provide an additional 30 days of free support as related to your QBO file.

Estimated Fee for QBO Set Up and Training: 

The estimated fee for a QuickBooks Online (QBO) Set Up and Training engagement is $1,575.  This fee can be made in 3 monthly payments of which $575 will be invoiced at the beginning of the engagement. The remaining balance of $1000 will be invoiced in 2 separate monthly payments.

Note: the QBO engagement consists of 10 to 12 hours of training. If additional training is required, the hourly fee will be $75. It also does not include entering history. Data entry for history can be purchased for additional cost. 

Requirement: the trainee(s) should be able to set aside 2 hours weekly for the training sessions.

Consultations
